1.1. Every organizer (hirer) has to furnish proof to the Verkehrssicherheitszentrum Sachsenring that they have taken out an organizer’s Public Liability Insurance with a sufficient limit of indemnity and applicable to the purpose and duration of the hire. Proof of such insurance has to be furnished not later than 14 days before the opening of the event.
1.2. The organizer (hirer) is liable for the full amount of any damage caused on the premises of the Verkehrssicherheitszentrum Sachsenring in connection with the event.
2.1. If the organizer (hirer) fails to appear on the agreed day without having effectively cancelled the contract in advance, they owe the full contracted gross price to the Verkehrssicherheitszentrum Sachsenring. All contract cancellations have to be in writing and must be sent by mail or by fax. The term of notice begins on the day on which the notice of cancellation is received by the Verkehrssicherheitszentrum Sachsenring. In case of doubt, the organizer (hirer) has to prove that the notice of cancellation has been received at the Verkehrssicherheitszentrum Sachsenring.
2.2. If the contract is cancelled ...
2.3. The client is at liberty to prove that the damage caused to the Verkehrssicherheitszentrum Sachsenring by cancellation respectively absence without prior cancellation was either nonexistent or substantially lower than the agreed lump-sum cancellation fees. If the client is able to provide conclusive proof of such claim, the lump-sum fee will be accordingly reduced or waived completely.
2.5 40 % of the probable costs of the event have to be paid IMMEDIATELY upon making the booking. The event will only be considered definitely booked after the account of the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG has been credited with the respective amount.
Another 40 % of the probable costs are due 6 weeks before the agreed day of the event; a respective invoice will be made out by the Verkehrssicherheitszentrum Sachsenring. For the remaining 20% as well as for variable costs that can be determined only at the end of the event (e.g. catering, costs of electricity and water) the organizer will be invoiced by the Verkehrssicherheitszentrum Sachsenring after the event.
2.6 The consumption of electricity and water will be determined from the respective meters. With smaller events a lump sum can be agreed on.
2.7 All invoiced amounts are payable without deduction IMMEDIATELY after receipt of invoice.
3.1 Waiver of liability
All participants will use the facilities at their own risk and responsibility. The hirer expressly undertakes to admit only those participants who – prior to admission – have waived in writing possible damages claims against the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG as the proprietor of the grounds, buildings and facilities, as well as against all persons employed by the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG. Likewise, the hirer and all their assistants also waive any possible damages claims against the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG.
3.2 Herewith the hirer is empowered and obliged to accept the written waivers for the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG.
3.3 Any sub-letting of facilities by the hirer may only take place with the prior consent of the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG.
Providing a third party with electricity etc. from the pits is not permitted. Power outlets at the pits may only be used by the hirer of the pits.
3.4 Hire periods of the Sachsenring circuits are:
ONLY on workdays (Monday to Saturday) from 8.45 am to 1.00 pm and 2.00 pm to 4.45 pm.
3.5 For any disregard of the aforementioned periods of hire the organiser will have to pay a fine of 500,00 € plus VAT for every begun 15 minutes. No excuses will be accepted.
3.6 Hire periods of the road safety training courses: daily from 8.00 am to 6.00 pm.
3.7 Rest time in PADDOCK and PITS: daily from 10.00 pm to 6.00 am.
3.8 The Sachsenring circuit must not be used by more than 35 motorcycles respectively 25 cars at the same time. The passing noise of ALL vehicles using the Sachsenring must not exceed the noise limit of 90 dB when driven at full power. Motorbikes can only stay within this limit if they are equipped the standard airbox and filter cartridge as well as with an (original) exhaust system that guarantees staying within the series’ limits.
3.9 In addition to several permanent noise measuring systems, the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG has its employees carry out noise checks with mobile measuring equipment.
The average noise measured in the course of the day has to be within the given limit. The current values are continuously monitored by qualified staff of the Verkehrssicherheitszentrums Sachsenring and can be made available to the organizer if desired. Exceeding the limit will result in the premature termination of the event. In this case the hirer will not be entitled to demand a reduction in the rental price or additional hours to make up for the missed event time.
3.10 If the above conditions are not respected (e.g. if the noise limit is exceeded or if there are too many vehicles on the track), offenders will be informed of their misbehaviour by being shown a black indicator board with their number. In this case the offender must leave the track immediately and report to the organizer at once.
If the orders are not obeyed, the whole event will be stopped by showing the red flag. There will be no compensation for any time lost by this.
3.11 Participants who exceed the noise limit twice during the same event will be excluded from the event without getting any refund.
3.12 For motorbike training on the circuit all vehicles have to be serially numbered at the front as well as on the left and right sides. Already existing numbers have to be covered.
3.13 Prescribed size of the numbers:
height: 140 mm; width: 80 mm; thickness: 25 mm. On a dark background white numbers have to be used; on a light background black ones.
3.14 If a vehicle gets off the track, the event will be stopped for recovery and cleaning of the track. Time lost by this will not be added after the originally planned end of the event.
3.15 If the above regulations are not adhered to, the Verkehrssicherheitszentrum Sachsenring has the right to close the track or stop the event. In such a case the organizer (hirer) is not entitled to demand repayment of their costs.
3.16 The hire periods confirmed by the Verkehrsicherheitszentrum Sachsenring GmbH & Co KG include both the set-up and dismantling times at the circuits and road safety training tracks as well as the times for handing over and taking over the facilities.
The hire period lasts up to the end of the final inspection tour for possible damage, carried out together with a representative of the Verkehrssicherheitszentrums Sachsenring, but at least up to the confirmed time. If, at the end of the inspection tour, there should be any vehicles left on the track because they have had an accident or have broken down, then both hire period and responsibility of the organizer (hirer) for any incidents on the used track shall continue until the hirer has cleared the track completely. The hirer is not entitled to use any of the tracks of the Verkehrssicherheitszentrums Sachsenring before they have been handed over to them.
3.17 From the first inspection tour up to the end of the last inspection, the hirer shall bear the full responsibility for all incidents on the used tracks and facilities of the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG. During this period the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG shall not be held liable for any incidents on or at the Sachsenring track.
Clearing the track as well as opening and locking of main and side gates before and after the event shall be within the sole responsibility of the hirer. If the hirer uses any other facilities of the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG, then the hirer shall be on principle responsible for these facilities as well.
3.18 With the exception of paddock and pit areas, entering the premises of the Verkehrssicherheitszentrum Sachsenring is PROHIBITED outside the event times.
3.19 In pit lane and paddock all vehicles must move at walking speed.
3.20 If the track is covered with snow or ice, the hirer is not entitled to demand that the track has to be cleared by the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG.
If asked to do so, the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG will clear the track of snow within its possibilities. The hirer will be charged extra for this service. The hirer must not hire outside companies to clear the track.
3.21 The paddock must be handed over clean and tidy not later than two hours after the official termination of the event (as stated in the quotation), i.e. in as good order and condition as at the start of the hiring; the pits must be well-swept.
If failing to comply with this rule, the hirer will be subsequently charged with the resulting cleaning costs.
3.22 The hirer shall be held responsible for any damage to the circuits and road safety training courses, as well as to flanks, fencing, crash barriers and other facilities of the Sachsenring, that is determined during the joint inspection tour after the event. The Verkehrssicherheitszentrums Sachsenring GmbH & Co KG will charge the hirer accordingly.
3.23 Unauthorized stickers, signs and advertising of all kind will be removed by order of the Verkehrssicherheitszentrums Sachsenring GmbH & Co KG. The hirer will be charged for the costs of removal as well as for any possible damage due to affixing or removal.
If the hirer fails to send a representative for the inspection of the track and the hired facilities, the hirer shall have to accept the findings of the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG.
3.24 We would like to point out expressly that affixing of signs and advertising of any kind is PROHIBITED in the public road traffic areas around the Sachsenring. The respective authorities of the Chemnitzer Land district council will press charges against anybody who violates this regulation.
3.25 The hirer shall reimburse the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG for the costs of repairs and cleaning.
The responsibility for the settlement of any claims with insurance companies and participants rests with the hirer.
3.26 The Verkehrssicherheitszentrum Sachsenring GmbH & Co KG shall be entitled to task outside companies to carry out repairs in the name and for account of the hirer. The Verkehrssicherheitszentrum Sachsenring GmbH & Co KG shall check the respective invoices for correctness and forward them to the wrongdoer.
3.27 There are long-term advertising contracts for all of the premises of the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG. Thus, any kind of one-day advertising, commercial filming, radio and TV broadcasting as well as the use of the airspace above the Sachsenring necessitate obtaining the permission of the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG. Unauthorized one-day advertising shall be removed by the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG at the expense of the hirer.
3.28 All catering rights at the Sachsenring are held by the company Beierlein’s Cafeteria und Boxenstopp am Sachsenring.

3.29 Any kind of hospitality activity of either the hirer or participants will have tomust be coordinated with the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG and Beierlein’s Cafeteria und Boxenstopp am Sachsenring before the event.
3.30 Any selling of food and drink, accessories, souvenirs, T-shirts etc. at the event or on the premises of the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG is PROHIBITED unless permission to do so has been obtained in advance from the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG.
3.31 If the hirer violates the above stipulations, the Verkehrssicherheitszentrum Sachsenring GmbH & Co KG is entitled to fine the hirer up to 2,000.00 € for breach of contract .
4.1 WITHOUT EXCEPTION the operating hours of the circuits and the road safety training courses at Verkehrssicherheitszentrum Sachsenring must be respected by all instructors and organizers of events as well.
4.2 Setting up or dismantling stands or facilities for exercises outside the given operating hours must have been approved by the management of the Verkehrssicherheitszentrum Sachsenring in advance.
It is NOT PERMITTED to rehearse exercises or parts of the event outside the operating hours.
4.3 If the stipulations of points 4.1 or 4.2 are violated, the organizer (hirer) shall be fined 500.00 € plus VAT for every begun quarter of an hour.
4.4 It is PROHIBITED to wash vehicles on the grounds of the Sachsenring.
4.5 After the end of the event, any keys or key-cards handed out in connection with the event by the Verkehrssicherheitszentrum Sachsenring must be returned of one’s own accord to the reception of the Verkehrssicherheitszentrum Sachsenring where a note of their return will be made in the keys’ register. If keys are either lost or not returned in spite of several reminders, the organizer (hirer) will be charged an amount of about 7,500.00 € since the whole locking system of the Sachsenring premises will have to be replaced.
